Overview
Setting up a CloudPBX phone system has been simplified to make the whole process quick and easy.
This Quick Start Guide has been prepared to help you get started with the basic configuration.
LEAP
For LEAP firms, SmartSync enables us to synchronise your Branch and Staff settings automatically so you just need to enable each User with an extension and any additional features or licences as required. New Staff added\licenced in LEAP will automatically appear as a User in the ConnectSmart Manager portal.
New Accounts
Open the LEAP App Marketplace, enable CallSmart and open the CallSmart Dashboard under Menu -> Other. When prompted, enter your LEAP credentials to start the sync.
Once you receive the email with your activation code and temporary password login at https://my.connectsmart.io.
Existing Account
Login to https://my.connectsmart.io, go to Client (Home) -> Integrations. In the LEAP tile, click Enable.
When prompted, enter your LEAP credentials to start the sync.
Once completed, you will notice the LEAP logo to the top right of your SmartSync'd User(s) and Office(s).
Important: LEAP SmartSync is a requirement for our integrations to operate correctly with LEAP.
Step 1 - Order New or Port Existing Number(s)
Before you can create any extensions, you will need to either order a New Number(s), or submit a Port for numbers your firm already uses.
Open CloudPBX (Services) -> Numbers.
This page will display all available Numbers, or the Support Guides tiles when there are no Numbers.
Click New Number(s) to purchase new numbers for your firm, or click Port Number(s) to submit a porting request for any numbers your firm currently uses.
New Number(s) are usually allocated within an hour. Ported Numbers can take several days or even weeks depending on your Current Carrier and your region.
You will be able to keep an eye on your Number/Porting progress via the Orders page.
You will be notified once your numbers have been allocated and are ready for use.
Step 2 - Extensions & Rooms
Now that we have some numbers, lets put them to use.
Open CloudPBX (Services) -> Extensions.
This page will display all configured Extensions, or the Support Guides tiles when there are no Extensions.
There are a few ways to create an Extension.
For Users - Required for LEAP firms wanting to use CallSmart, PrintSmart, NoteSmart etc.
- Clicking the +User button on the CloudPBX (Services) -> Extensions page
- Clicking Enable CloudPBX button on the Client (Home) -> Users page
Both will prompt for the User to be selected, along with the preferred Extension Number, Caller ID and Voicemail configuration.
For Rooms or stand-alone devices.
- Clicking the Room or Device button on the CloudPBX (Services) -> Extensions page
This requires a Display Name and the preferred Extension Number, Caller ID and Voicemail configuration.
Once setup, you will be able to make additional changes to the extension including DND, enabling CallSmart and configuring Call Forwarding.
Step 3 - Phones (and Templates)
Softphone
A softphone is similar to your physical handset however it is installed on your computer (Windows/Mac) or smart device (iOS/android) making it the easiest way to start making calls.
Download and install, then enable CloudPBX UC on your Extension.
Once enabled, you can login using your email address and allocated Extension Number and start dialing or calling your Extension Number!
Handsets
The CloudPBX has Zero-Touch provisioning for Yealink IP Phones. Polycom, Cisco and Grandstream handsets will be added in the future. Most IP Phone vendors are supported but may require Support's assistance.
Adding Phones to your CloudPBX requires the MAC Address and Serial Number of your handset as well as a Template configured for your Brand/Model of IP Phone.
The MAC and Serial are usually found on the back/bottom of most IP Phones, then please contact your ConnectSmart Partner to look at what options you have.
Step 3.1 - New Template
Open CloudPBX (Services) -> Phones, click Templates
Setting up a Template for your Phones allows you to configure the settings and Buttons for all of your handsets using that Template in one go. Editing these templates then updates all handsets automatically.
Adding a new Template will also automatically import your Extensions to your Template Buttons configuration for you to then move around as required.
Step 3.2 - New Phone
Select the Office, Extension, Brand/Model and enter the MAC Address and Serial Number for your IP Phone. Supported Templates will then be displayed for selection. Click Save to add the phone.
You can now reset your Handset, we recommend doing a factory default (Hold OK for 10 seconds on a Yealink IP Phone) to download the new configuration.
It can take up to 5 minutes to update, but once completed, your Handset should show your Extension name and will be ready to dial.
